Why inspection value depends on the work that follows.

Most organisations are not short of findings. They are short of visible, controlled follow-on work. Once the planned maintenance basics are in place with a functional scheduling process and a way to track schedule attainment, the next weakness often becomes visible: what happens after the inspection.

An artisan inspects a critical asset. A fault is found. A note is made. Then the real work starts: interpret the feedback, decide what must happen next, create and assign the work order, track it, and prove it was completed.

That may sound simple on one asset. Across multiple sites, thousands of assets, multiple contractors, and high daily work volumes, it becomes a control problem. This is where inspection programmes leak value. The issue is not that the inspection did not happen. The issue is that the finding does not move cleanly from “found” to “fixed”.

An inspection is only useful if it triggers action.

Inspections consume scarce technical capacity. They take planning, travel, access, tools, artisan time, and administration. So the return on that effort cannot simply be: “we inspected it”.

The value is in what happens next.

If the fault cannot be corrected during the inspection, it must become visible follow-on work with enough detail for the next person to understand what was found, where, and what needs to happen. Whether left in a comment field, a handwritten note, an email, or someone’s memory, the process is already vulnerable. A maintenance team can have a strong inspection routine and still lose control of corrective action. The common failure points are familiar:

  • the finding is captured, but not converted into a work order;
  • the work order is raised, but not linked to the originating inspection;
  • the repair is delayed, but nobody has clear visibility of the risk.

None of these is a dramatic failure in isolation. They are small process leaks. Over time, they weaken compliance assurance, increase reactive work, and make it difficult to measure whether inspections are actually reducing risk.

Shell’s South African retail network is a practical example. Across more than 400 retail sites, critical equipment inspections were supported through Pragma’s Facilities Management Centre. If inspection findings are not linked to the originating inspection, analysis becomes a manual exercise. You lose the ability to see repeat findings, check whether critical issues are being escalated and closed out, and measure whether inspections are reducing risk or only creating records.

With linkage, follow-on work becomes part of a measurable Maintenance Work Management loop. Mobile close-out strengthens that loop: when structured feedback is captured at the point of work, the history is more immediate and useful. Add fault detail, photos where needed, and automatic routing, and the inspection finding has a better chance of becoming planned, visible, completed work.

A completed inspection means someone looked, ticked, commented, and submitted. A closed loop means the fault was identified, converted into follow-on work, assigned, executed, closed out, and linked back to the original inspection for assurance and analysis.
